As the IT Information & Privacy Coordinator, you will be responsible for providing records and information management and Freedom of Information and Protection of Privacy (FOIP) guidance to staff in the Information Technology (IT) business unit. The role is responsible for the design and development of the annual plan to keep IT compliant with the Corporate Records Management Program, Information Management and Information Security policies, and the Freedom of Information and Protection of Privacy (FOIP) Act. Primary duties include:
- Provide advice, support, and direction on records and information management best practices and matters related to access and privacy.
- Coordinate responses to formal FOIP access requests and information disclosures as legislated by the FOIP Act.
- Monitor and administering security access and permissions to shared drives, Physical Objects, and Content Server libraries for electronic records.
- Provide guidance to IT staff on Privacy Impact Assessments and related privacy risks, mitigations, and requirements prior to the implementation of new projects or business processes.
- Deliver staff training on management of information, customized records management procedures, and the application of IT standards for indexing, naming standards, classification, retention, and/or disposition of information and records.
- Promote staff awareness on records and information management bylaws, policies, standards, and procedures and managing records under different corporate repositories including shared drives, Content Server, SharePoint, Microsoft Teams, OneDrive, and email.
- Investigate, contain, and report on privacy breaches within IT.
- Liaise with Access and Privacy on questions related to the FOIP Act and requirements for the Privacy Impact Assessments and with Corporate Security on audit findings related to records integrity and accuracy and recommendations related to the Information Management and Security policy.
- A completed 1 year certificate in records management, library studies, or related field and at least 5 years of related experience; OR
- A completed 2 year diploma or a degree in records management, library studies, or related field and at least 3 years of related experience.
- Experience using electronic information management applications and working knowledge of the Freedom of Information and Protection of Privacy (FOIP) Act is required.
- Intermediate proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat and familiarity with SharePoint, Content Server, Microsoft Teams, and OneDrive would be considered assets.
- The ability to handle confidential issues with tact and diplomacy is required.
- Success in this position requires strong interpersonal and organizational skills, excellent communication skills, the ability to work collaboratively with a variety of interested parties, the ability to plan and organize work independently, and high attention to detail.
- A security clearance will be conducted.
